The sign up procedure for US Meets is the following:

The swimmer and parents must tell that swimmer's COACH and the
US Coordinator Myrna Marks that he or she will be attending the meet.

We need to hear from the parents because there is a financial responsibility involved. This can be done verbally, email or paper it does not matter. Both parties however must be notified. It is then the responsibility of the coach to confirm that information with the US Swimming coordinator (Myrna Marks). Kyoko Kameyama is Myrna’s assistant and will be assisting with the collection of the meet fees. The coaches need to have some input into the process. It also alleviates the US coordinator having to interface with all the parents of each swimmer swimming in each meet. The US Coordinator now has input from the coaches.

My advice is to look over the schedule periodically and choose the US meets that you wish your child to attend paying close attention to the deadline and let their coach and the US coordinator know approximately three weeks prior to the meet. The sooner the better. You will be able to see the specific meet information because we will put it up on the website and post one on the board at the Warwick pool as we receive it. DO NOT go by the deadlines from the host team's information sheet. We need to have entries well before this and this is why we establish our own deadlines. Entries are on a first come first served basis so we attempt to get the processing done beforehand. If we wait until the last minute there is a chance that we will be omitted from the meet. If you sign up for a meet and can not attend, unfortunately you are still responsible for the fees. We can not get those fees back from the host team. Please do not contact other US teams directly as this is a point of contention with other teams. They only wish to hear from one team representative.

Procedure example:

1. Check the calendar on the website often because we need to update frequently.

2. Examine the U.S. Schedule and choose which meets you wish to attend. This information is on the meets page and the pool bulletin board.

3. Send an email or write a note to your child's coach and also carbon copy Myrna Marks on your email.

4. If you would like input on the events please make arrangements with the coach to speak with them. i.e. You can only make one day of a three day meet. You wish to have your child swim a 200 or not swim butterfly etc.

5. The Aqua Gems entries list will be posted to the meet entry page on the website and on the bulletin board as soon as it is ready. Check it as soon as it is available to verify your events.

6. Please look over the event list and prepare a check for the entries and place it in the US meets folder. The team pays for relays and the coaches determine relays. There is an Aqua Gems imposed $5.00 per swimmer surcharge.

For example if your child is swimming 3 events and a relay at a particular meet and the cost per event is $3.00, our surcharge is $5.00. Your check should be made out for $13.00 (3*$3.00 +$5.00= $14.00). You would make out a check for that amount.

You can not pay for more than one meet per check. Please indicate in the notes section of the check which meets you are paying for and how much for each.

7. Please note that payment is due before the meet. If you have a question, query your coach.

8. Failure to pay for the meets promptly will terminate any further US Entries until arrears are caught up.
